Privacy notice
Last updated: October 12, 2026
This notice explains what personal data Artise ("we") handles, why, who else processes it, and how you can exercise your rights. It covers three things: the demo request form on this website, the Artise chat service we run for our customers, and the Artise phone app.
1. The demo request form
When you ask for a demo we receive your name, company, team size, how to contact you (email or phone) and anything you write in the message. We use it only to reply to you and arrange the demo. It is sent to our inbox by email; the website itself doesn't keep a copy. We keep these requests for up to 24 months, or less if you ask us to delete them.
This website doesn't use cookies, analytics or advertising trackers, and its fonts are served from our own server. Your language choice is remembered in your own browser only.
2. The Artise service
Each customer gets its own private server. On it we process what people put into their chats: messages, files, photos, voice notes, calendars and the notes the assistant keeps. Our customer decides what goes in and who has access; for that data we act on the customer's behalf (a processor or "encargado").
- Encryption: chats are end-to-end encrypted between devices. The assistant is a member of the chats it is in, so it can read their messages and files to do its work.
- Chat backups: each night every chat's messages and files are saved in a backup locked for that chat's members, with keys only they can open - with their password or a recovery code emailed to them. The server stores these backups but can't read them; they're kept 15 days. When someone restores a chat, the server opens that backup only for the moment it builds their download.
- AI: when someone asks the assistant something, the text needed to answer (and any attached photo or file) is sent to the AI provider the customer chose. We use their paid business services, under which providers don't use this content to train their models.
- Website chat: when a business adds the chat to its website, what a visitor writes (and their name and email, if they give them) is kept in that business's chat for its team to answer; a draft reply may be written by the AI provider from the business's own FAQ notes, and is sent only after a person on the team approves it - unless the business turns on automatic answers, which only answer what its own FAQ notes fully cover (the team sees each one).
- Booking pages: when a business offers a booking page, what a client writes there (name, email or phone, a note, the time) is kept in that business's chat and sent to its calendar; the client gets an email with a link to cancel. The page shows only free times, never the calendar's contents.
- Catching up: to tell people what they missed in a group, the server keeps when each person last read each chat (from their read receipts) and when each message was sent and by whom - never its words - for 7 days.
- Plans mentioned in a group: a group message that mentions a day or a time, or a photo sent there (up to 5 a day), is checked by the AI provider so the assistant can offer to add the plan to the chat's calendar. Nothing is kept unless someone accepts, and each chat can turn it off.
- Search: to make photos and scanned documents searchable, they may be read once by the AI provider; customers can turn this off.
- Separation: each chat's notes are visible only to that chat's members, and the assistant never shows one chat's information in another.
Artise isn't designed for health information such as patient records (for example, data covered by HIPAA in the US). Please don't use it for that.
3. The Artise phone app
The Artise app for Android connects to your organization's Artise server, and everything in section 2 applies to it. It also connects to these services:
- Google Firebase Cloud Messaging, to deliver notifications. Your server sends it only an event ID, never the message itself - not its text, who sent it, or any file. The app then fetches the message from your server and decrypts it on the phone. Google receives a push token and an installation ID for your phone to route notifications.
- Google ML Kit, only when you make a sticker from a photo. The background is removed on your phone and the photo is never sent; ML Kit sends Google its own diagnostics (phone model and Android version, app version, an ID for this installation, timing, and the image size and format).
- The website of a link you type, to show its preview. Your phone reads that page, as your browser would, so the website sees your phone's IP address. The preview is sent inside your encrypted message: the people who receive it don't contact the website, and the Artise server never sees the link. Tap the X on the preview to send the link without it.
- Google Cloud Storage and jsDelivr, only if you turn on background blur during a call. They receive your phone's IP address while the blur model downloads.
The app uses your location only when you share it in a chat, once or live; live sharing shows a notification until you stop it. The camera and microphone are used only for photos, voice messages and calls you start; photos may be converted to JPEG and made smaller before they're sent. The app keeps your chats and notes on the phone so they work without a connection. It has no ads and sends no crash reports.
Usage statistics (optional). After you sign in, the app asks whether you want to help improve Artise. Only if you say yes, it sends Google Analytics for Firebase which screens you open and which features you use, together with your phone model, the Android and app version, and an ID for this installation. It never sends your messages, notes, names or contacts, and nothing is used for ads. You can turn it off at any time in Settings → Analytics.
You can also turn off notifications, location, camera and microphone in your phone's settings at any time; the rest of the app keeps working.
4. Connected Google and Microsoft accounts
Each person can connect their own Google or Microsoft account to the assistant, with !connect google or !connect microsoft in their private chat with it. Connecting is optional, and the provider shows exactly what is asked for before you agree:
- What it can reach: your email address, to show which account is connected; your calendar's events, to tell you what's on and add events you ask for; and your Google Drive or OneDrive files, read only, to find and read the files you ask about. Nothing in your Drive or OneDrive is changed or deleted. If you also connect your email - Outlook / Microsoft 365 (
!connect microsoft mail) or Gmail (!connect google mail), the assistant reads it only when you ask - or, if you turn on the daily bill check, it looks at new email once a day for bills to offer you - and sends a reply or an email from your mailbox only after you approve its exact text.
- Only for you: the assistant uses your account only for your own requests, and for Your day - a summary of your day on weekday mornings that only you get, in your private chat with it (pause it in
!automations). In a group chat the other members see only when you're busy, never your events' titles, places or guests, unless you ask about an event yourself. An event that invites other people is shown to you as a draft and is sent only after you confirm it. A file's text is kept in a chat's notes only if you ask the assistant to keep it there; then that chat's members can see it.
- The access keys: the keys your provider gives us are stored encrypted on your organization's server. We don't keep a copy of your calendar or your files: they're read when you ask, and only the part needed to answer is sent to the AI provider described in section 2, which doesn't use it to train its models.
- Disconnecting:
!disconnect deletes the keys at once and withdraws Google's access. For Microsoft, also remove "Ari" in your account's app permissions (account.microsoft.com, or myapps.microsoft.com for a work account). Deleting your Artise account (section 8) deletes the keys too. You can also remove access at any time from your Google or Microsoft account settings.
Artise's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We don't use it for advertising, we don't sell it, we don't use it to train AI models, and people at Artise don't read it, except with your permission, for security, or where the law requires it.
5. Who else processes data
| Provider | What for | Where |
| Hetzner Online GmbH | Servers and encrypted nightly backups | Germany (servers), Finland (backups) |
| Anthropic PBC | AI answers, when the customer chooses Claude | United States |
| Google LLC | AI answers, voice, images and reading photos for search, when the customer chooses Gemini | United States |
| Google LLC (Firebase Cloud Messaging) | Delivering app notifications: only an event ID, a push token and an installation ID | United States |
| Google LLC (Google Analytics for Firebase) | Usage statistics in the app, only for people who agree; no content | United States |
| Google LLC (ML Kit) | ML Kit's diagnostics when someone makes a sticker from a photo; the photo stays on the phone | United States |
| Google LLC (Cloud Storage) and jsDelivr | Downloading the background-blur model for calls, only if someone turns blur on: the phone's IP address | United States (Google), worldwide network (jsDelivr) |
| Resend, Inc. | Sending emails (invitations, demo requests) and receiving emails forwarded to a chat | United States |
| 17TRACK | Tracking packages someone asks the assistant to follow: only the tracking number and carrier | China (Shenzhen) |
| Mercado Pago | Payment links a business creates for its invoices: the invoice number and amount; customers pay on Mercado Pago's own page, to the business's own account | Mexico / Latin America |
Transfers outside the EU and outside Mexico rely on the providers' data processing agreements and standard contractual clauses. Web searches the assistant makes send only the search words, from our server.
6. How long we keep data
- Demo requests: up to 24 months.
- Service data: for as long as the customer's contract lasts. When it ends, we delete the server's data within 30 days; encrypted backups expire on their own within 12 months.
- A person removed from a chat loses access right away; what they wrote stays in that chat for its members.
- Deleted photos and files are kept 30 days, so they can be restored, then permanently deleted.
7. Your rights
You can ask to access, correct or delete your data, or object to how it is used (the ARCO rights under Mexico's data protection law, and the equivalent rights under the GDPR and US state laws). Use the form on our home page and start the message with "Privacy request". We answer within 20 business days. If your data is in a customer's Artise service, we'll also involve that customer, who decides about their own data. You may also complain to your data protection authority.
8. Delete your account
You can delete your Artise account and its data yourself, at any time, at chat.artise.co/account/delete - from any browser, on your phone or computer. Sign in with your username and password, type DELETE to confirm, and it's done at once.
- Deleted right away: your account and profile, and every device signed in to it; your own chats with the assistant, with their notes and files; and everything the assistant keeps about you (what it remembers, your language, timezone, settings and plan usage).
- Kept: messages and notes you shared in group chats stay there for the other members, as they already saw them; people who join later don't see your messages.
- Backups: chat backups expire within 15 days, and our encrypted server backups within 12 months.
If you can't sign in, ask us through the form on our home page, starting the message with "Privacy request", and we'll delete it within 20 business days.
9. Changes
If we change this notice, we'll update the date above and, for meaningful changes, tell our customers first.
